Duplicate Materials

The archive catalogue should only contain one entry per item of archive material. However, there are reasons why duplication may arise:

  1. different archivers could potentially catalogue the same material item more than once. This should be prevented by the marking up of each material item with the archive code once it has been catalogued and storing it separate from non catalogued material.
  2. the material archive itself could have more than one copy of an item, stored in different places. This is most likely to occur with images but could also apply to smaller documents.

It is too cumbersome and time consuming to check each scan/photograph file before adding it to the website catalogue. It is recommended that periodic checks are made on the master file copies. If duplicates are found, these are double checked and the duplicate(s) removed from master copies and the website catalogue as required.

The duplicate checking process requires a number of steps and varies by file type.

  1. use CCleaner Free Duplicate Finder to undertake a basic name and file size check.

If an archive material item does get catalogued multiple times, once the scenario has been identified duplicate entries can simply be deleted from the calatogue.
