On completion of scanning/photographing an archive item, copies of the item folder and its files should be made to the appropriate collection memory sticks.
There are two memory stick copies for each collection. Each collection memory stick copy should be a separate copy of the same file set. These are the master copies of the digitised archive material. Each collection copy may comprise more than one memory stick if the volume of archived material for that collection requires it.
The memory sticks should be labelled with the collection code and the copy number.
Each collection memory stick should be stored in a separate location and be separate from the original archive material. Each location may store one memory stick copy from each collection. This should ensure that any loss of data from a memory stick or loss of a memory stick itself should be covered by the other copy.
There will also be a copy of the file(s) on the website which can be retrieved if necessary.
As a last resort, the original archive material can be re-scanned or photographed but this should be avoided if suitable copies are retained as above.
